The WhatsApp integration is a quick and convenient method to raise and submit reimbursement requests and proofs, and also view the latest payslips.

How it Works

  1. Ensure your organisation has integrated WhatsApp with Payroll.
  2. Connect your WhatsApp account with Payroll.
  3. Chat with the WhatsApp bot to raise requests.

Connect WhatsApp

The WhatsApp integration is available only if your organisation has integrated WhatsApp with Payroll. You can also contact your Manager/HR to check if the integration is available. To check and enable the WhatsApp integration:
  1. Log in to the Payroll Dashboard.
  2. Navigate to My profile → Other Information → EDIT.
  3. Check if the Connect to WhatsApp is visible. Payroll Dashboard Other Information enter phone number select check box
  4. In the Phone Number text box, provide your WhatsApp-enabled phone number.
  5. Select the Enable WhatsApp for my phone number check box.
You have successfully enabled the WhatsApp integration. Open your WhatsApp application and view the text message from RazorpayX Payroll. Text hi to get started.

Use WhatsApp

You can use the WhatsApp integration to:
To claim reimbursements via WhatsApp:
  1. Open your WhatsApp application → RazorpayX Payroll chat.
  2. Text Hi in the chat.
  3. Tap File Reimbursement.
  4. Select the Reimbursement Type from the pop-up modal. You can select from the reimbursement types your organisation has configured.
  5. Type the Reimbursement Amount without any special characters. For example, 1500. Select options and enter amount Payroll WhatsApp integration
  6. Enter Remarks, if applicable. Else, tap Skip.
  7. Enter the expense date in a DD/MM/YYYY format. For example, 01/09/2024.
    • Ensure you enter the forward slashes / in the date entered.
    • For single digits, add 0. For example, 01.
  8. Upload Attachments, if any.
    • On your mobile phone, click the attachment icon to select an existing file or click the camera icon on your mobile phone to take a picture of the bill.
    • On the web app, click the + icon to select an existing file.
  9. Click the send icon.
  10. Tap Confirm to proceed. To cancel or discard the reimbursement request, tap Restart.
Your reimbursement request is successful.
You can use the WhatsApp integration to view past payslips.
  1. Open the WhatsApp application and text Hi. You can also click Go Back to Main Menu.
  2. Tap View Past Payslips.
  3. Select the Number of Months in the pop-up modal. Request and download Payroll payslips via WhatsApp
You have successfully requested to view the past payslips.You can download the PDFs of the payslips from the chat for the next three hours, after which the PDFs expire.
